Policies and Legal Information
Draft website-level policies | Prepared October 22, 2026
Publication check required: These are starter policies for the Virtrace informational website. Review with qualified legal and privacy advisors before launch. Confirm the legal entity name, contact address, jurisdiction, data collection, service providers and product-specific agreements.
Privacy Policy
Virtrace Technology respects the privacy of visitors to this corporate informational website. This statement describes the data currently contemplated for this website; individual platforms may publish their own privacy notices.
Information you choose to provide
The inquiry form saves your name, email address, optional organization, product interests, message, consent and submission time in a protected database. Authorized administrators use this information to respond and manage your inquiry. Direct email links open your email application instead.
Automatic information
Depending on the eventual hosting provider, technical logs may capture IP addresses, browser details, access timestamps and diagnostic information for security and operations. Hosting-provider terms and settings should be reviewed before launch. This site as packaged has no analytics tags or third-party ad pixels.
Sharing and retention
Information may be shared with providers needed to host the website, process business email, or satisfy legal obligations, subject to applicable agreements. We do not state that user information is sold. Retention periods and deletion procedures must be established before accepting requests through a production backend.
Security and sensitive data
Do not transmit medical records, taxpayer identifiers, financial-account credentials, or other sensitive information through general website inquiries. Product-specific secure intake processes are required for those use cases.
Your choices
You may contact us to inquire about access, correction, or deletion of information that we maintain, subject to applicable law and legitimate retention needs. Rights vary by jurisdiction.
Children
The corporate website is not intended to collect personal information directly from children under 13.
Policy updates
We may update this notice as our practices or applicable laws change. Material changes should be reflected with an updated effective date.
Website Terms of Use
This informational website introduces Virtrace Technology and its portfolio. By accessing it, visitors agree to use it lawfully and not interfere with its functioning or security.
No automatic product access
A mention of a platform does not constitute an offer of immediate access or a promise of availability. Product subscriptions, contracts, support terms, payment requirements, refund policies, and account rules are governed by separate product-specific agreements, where offered.
No professional advice
Website marketing information is not tax, legal, medical, financial, or mental-health advice. Users should consult appropriately qualified professionals about their circumstances.
External links
Links to other websites are provided for convenience; their operators control their services and policies. Virtrace does not guarantee that external links remain available.
Changes and availability
Website content and described development plans may change. We aim for accuracy but cannot warrant uninterrupted availability, freedom from error, or fitness for a particular purpose to the extent permissible by law.
Applicable law
Governing law, legal entity identity, and formal notice address must be confirmed before these terms become final. Mandatory consumer rights remain unaffected.
Acceptable Use
Visitors must not use this website for unlawful activity, impersonation, harassment, spam, credential theft, malware distribution, unauthorized data access or interference with other users or infrastructure. Do not attempt unauthorized penetration testing or automated extraction that impairs service. Separate platform acceptable-use rules may apply to AI-generated material, uploads, tax files, healthcare records, media publishing, and client communications.
Accessibility Statement
We aim to make the Virtrace Technology website usable by people with diverse abilities. The site's structure includes semantic headings, keyboard-accessible navigation, descriptive image text and responsive layouts. Accessibility testing with users and assistive technologies should be completed before production launch. To report a barrier or request information in an alternative format, use the contact process on the main page.
Industry and Product Disclaimers
- KMAS: AI-generated content may require human review for accuracy, intellectual property, rights, consent and permitted use.
- STAWILL: Tax calculations, e-filing, and professional tax services require proper validation and authorizations; product descriptions do not represent IRS approval.
- DASCT: Healthcare billing, clearinghouse operations, protected health information processing and payer connections require appropriate agreements, technical testing and compliance controls.
- Perspect: Life coaching is not a substitute for licensed therapy, crisis services, medical care or other regulated clinical services.
- Klone Media: Programming and editorial content may have separate licensing, subscription, advertising and community terms.
Displayed concepts and descriptions are not warranties, certifications, independent comparative rankings, or guarantees of outcomes.
Intellectual Property
Virtrace branding, original text, graphics and website design are intended for authorized Virtrace use, subject to any underlying third-party licenses. Product marks may belong to their respective owners. No permission to copy, resell or redistribute site materials is granted by mere access. Requests to use branding or content should be directed to the company.
Inquiries, Demonstrations, and Applications
Interested businesses may request information about partnerships, future product availability, or demonstrations using the contact form. Sending an inquiry is not an application approval, offer, account activation or contractual commitment. Access to a specific product may require identity verification, licensure, payer enrollment, eligibility checks, security review, acceptance of separate terms, and payment as appropriate. Do not provide sensitive onboarding documents via the general contact form.
Contact and Privacy Requests
Use the general inquiry form to submit questions or requests to our admin inbox. Our requested contact address is virtracetech@stawill.com; forwarding setup is being finalized. A verified business mailing address and responsible legal entity should be added before launch.
Inquiry form and visitor counter
When you submit an inquiry, we store your name, email address, optional organization, selected interests, message, consent, and submission time in our protected admin inbox to respond to you. Do not submit taxpayer records, medical information, passwords or other sensitive data. Authorized administrators can review and update inquiry status. To request access or deletion, contact virtracetech@stawill.com.
The footer counts distinct browsers beginning when the counter launched. A random first-party cookie lasts up to one year and helps prevent repeat page refreshes from increasing the count. Clearing cookies or using another browser or device counts again. It is an approximate count, not a count of verified people. We store a hash of the random visitor token and first-visit time, without names or raw IP addresses. An hourly hashed network identifier is used to limit form abuse.
